Compliance & Records Coordinator

Part-Time, 32-40 hrs/week; Non-Exempt

Reports to: Director of Quality and Program Evaluation

 

 

POSITION SUMMARY:

Assist the Director of Quality and Program Evaluation in developing and maintaining the organizational-wide records management system; develop and oversee agency policies and procedures including the incorporation of Oregon Administrative Rules, and other regulatory bodies; support program managers in ensuring quality client record management and staff training around HIPAA rules and file management; provide training and materials for Salesforce database.

 

PRINCIPLE DUTIES AND RESPONSIBILITIES:

 

Quality Assurance

  • Support the program operations at Catholic Charities and El Programa Hispano Catolico such as record keeping, data management and policies and procedures.
  • Collaborate with programs and administration, implement and maintain policies and procedures for the indexing, filing, storage retrieving, and destruction of documents.
  • Develop and implement trainings for records retention and destruction by program/department.
  • Manage records retention schedules by program/department.
  • Develop and maintain a database for tracking inventory of on-site and off-site records.
  • Monitor and ensure compliance of client record standards such as completeness, organization and HIPAA compliance.
  • Update and maintain agency policies and procedures. Coordinate and organize Human Resources, Finance and Development policies and procedures
  • Provide individual and groups trainings for the Salesforce database.
  • Maintain an up-to-date user's guide and facilitate communication between Salesforce Development and program staff.
  • Assist the Director of Quality and Program Evaluation in assuring data quality and contract compliance.
  • Assist the Director of Quality and Program Evaluation in collecting and analyzing program outcomes.
  • Maintain respectful, professional and partnering relationships with program/department managers and representatives.
  • Participate in trainings and coordination meetings as requested by Supervisor.
  • Adherence to Catholic Charities policies and procedures.
  • Perform other duties as assigned.

 

 

QUALIFICATIONS:

  • Bachelor's Degree in Social Services field preferred or equivalent experience.
  • Bilingual and bi-cultural, English/Spanish, preferred.
  • 1-3 years of experience with policy and procedure development, maintaining compliance for applicable regulatory bodies, strong knowledge of HIPAA regulations and compliance in relation to social services environment and client record management.
  • Demonstrate judgment and discretion in dealing with confidential matters.
  • Excellent proficiency in all programs of Microsoft Office.  Ability to quickly learn new database operations and/or other sophisticated software packages.
  • Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to ensure goals are met in a timely manner.
  • Excellent written and oral communication skills.
  • Willingness to learn new skills and take on new responsibilities.
  • Strong analytical, critical thinking and strategic problem solving skills.
  • Ability to work well in team setting, as well as independently; be flexible and adapt well to different dynamics.
  • Commitment to Catholic Charities mission to work in partnership with vulnerable populations to achieve lasting solutions to poverty and injustice.
  • Ability to lift 40-60 pounds and move boxes; assistance can be provided.
  • Must have a valid driver's license and automobile insurance coverage at 100/300/100 levels for occasional travel.
  • Satisfactory results from criminal, civil and/or motor vehicle background check required.
  • Ability to support organizational and program specific mission and goals.
